Job Description

HireArt is helping a fast-growing financial software startup hire an Administrative Assistant to join its Executive Admin team and support 4-5 Vice Presidents.

The company’s EA team is small and nimble. It works both autonomously with leadership (i.e. calendaring, taking care of meeting/agenda prep, and expenses/projects) and also collaborates as a team on broader projects (e.g. events, offsites, training, and best practices presentations). The team sits in offices across New York, San Francisco and Seattle.

In this role, you’ll report to the company’s Lead Executive Assistant (EA) and work closely with both its EA and GTM teams.

We’re looking for a roll-up-your-sleeves, “get in the weeds,” candidate, who has administrative support experience in a fast-paced startup environment. You are incredibly detail-oriented, thoughtful, proactive, professional, and eager to learn.

As an Administrative Assistant, you will:
  • Build trusted business partnerships with the VP’s you support.
  • Understand how the company operates—know who is responsible for what, which teams are in which office, and who the company’s leadership teams are.
  • Proactively manage heavy calendars (which includes internal and external meetings).
  • Plan and execute team meetings and events, including the coordination of agendas/materials, logistics, hospitality, and more.
  • Book travel and process expenses accurately and in a timely manner.
  • Approve expenses, travel, and time-off requests for your team’s direct reports.
  • Perform special projects as directed by the Lead EA.

Commitment:This is a full-time (40 hours per week), 6-month contract-to-hire position staffed via HireArt and based in San Francisco, CA. It will be fully remote until offices reopen in January 2022, at which point candidates will be expected to work onsite.
