About the role:

HireArt needs a talented Payroll Operations Manager to join our Finance Operations team. You’ll work collaboratively with our engineering and operations teams to fully automate HireArt’s payroll system to support exponential headcount growth. On a day-to-day basis, you will execute the payroll process through HireArt’s platform integration with ADP Workforce Now. The right candidate thrives when managing projects and “rolling up their sleeves” to get things done.

This position is accountable for North American payroll.

  • Oversee and run multiple weekly payrolls

  • Respond to and engage with employees to solve payroll issues

    • PTO & severance payouts, as needed

    • Direct deposit updates for our employees 

  • Oversee the maintenance of a payroll calendar and ensure all compliance and reporting deliverables are completed on time, such as the 401K, CPP, and Workers Compensation audits in the United States and Canada.

  • Drive efficiency in the end-to-end payroll cycle including system improvements, process updates, and employee/vendor training.

  • Perform periodic evaluations of internal payroll operations and external vendors.

  • Execute system and process improvements within Workforce Now.

  • Maintain backup procedures and a disaster recovery plan. 

  • Review and update payroll policies, flowcharts and internal controls.

  • Work cross-functionally with finance to ensure month end expense reconciliation.

  • Complete general ledger functions including reconciliations, and journal entries.

  • Review and approve local, state, and federal payroll tax returns and W-2s.

  • Prepare payroll related cash forecasts and other financial modeling.

  • Maintain compliance with federal, state, and provincial regulations concerning employment, and monitor labor law updates for changes that affect HR, including reviewing and updating employee handbooks or employment agreements.

  • Work with the engineering team to drive process improvements and vendor integrations.

  • Vendor selection and management - e.g., 401k, insurers, benefits, accounting and legal counsel.

  • Bachelor’s degree in Business Administration, Accounting or related field.

  • Certified Payroll Practitioner (CPP) designation preferred.

  • 3+ years experience administering in-house multi-state/province payrolls.

  • Experience with ADP Workforce Now.

  • Expertise with state and local registrations and tax reporting.

  • Experience with payroll related audits.

  • Expert in MS Excel (e.g., pivot tables, vLookup), Google Sheets.

Commitment: This is a full-time, permanent position at HireArt and based in New York City. Candidates must be local to the NYC area and should expect to work in-office 2-3 days per week.
